Covid-19 Policy

Policy brief & purpose

 

Clearsound Productions Ltd provides this company Covid-19 Policy to outline the active measures being taken to mitigate the spread of coronavirus.

Furthermore, measures are outlined to be followed by all staff, clients, freelancers, visitors and otherwise of Clearsound Productions Ltd in order to sustain a healthy and safe work environment. 

This coronavirus (COVID-19) company policy is susceptible to changes with the introduction of additional governmental guidelines. If so, we will update you as soon as possible by email.

Scope
 

This Covid-19 Policy applies to all of our employees, freelance workers, temporary staff, visitors, clients, third party contractors and any other persons who are in attendance at our offices or warehouse located at:  Unit 10 Tilemans Lane, Shipston-on-Stour CV36 4GX. It also applies to any of the above who may be working remotely or on location at an event

Policy elements
 

Here, we outline the required actions employees should take to protect themselves and their co-workers from a potential coronavirus infection.

Sick leave arrangements:

  • If you have cold symptoms, such as cough/sneezing/fever, or feel unwell, please do not visit any work site. You are asked to obtain a Covid test and to inform the directors of the outcome as soon as possible to assess the next steps.

  • If you have a positive COVID-19 diagnosis, you can return to the work only after you’ve fully recovered, with a doctor’s note confirming your recovery and evidence of a negative test result.

We ask that you take any instance of symptoms seriously whether you believe them to be Covid-19 or not. The impact of your attendance to work should it be found that you have Covid-19 may require the full shut-down of Clearsound Productions.
 

General Hygiene Rules/Coronavirus Precautions:
 

  • Wash your hands after using the toilet, before eating, and if you cough/sneeze into your hands (follow the 20-second hand-washing rule). You can also use the sanitizers you’ll find around the offices and warehouse.

  • Cough/sneeze into your sleeve, preferably into your elbow. If you use a tissue, discard it properly and clean/sanitize your hands immediately.

  • Open windows regularly, where possible, to ensure open ventilation.

  • Avoid touching your face, particularly eyes, nose, and mouth with your hands to prevent from getting infected.

  • If you find yourself coughing/sneezing on a regular basis, avoid close physical contact with your coworkers and take extra precautionary measures (such as requesting sick leave and seeking a test).

  • We ask that crew members avoid physical contact through hand shaking or similar.

  • Any shared equipment/items such as lecterns, microphones,  iPads, comms devices and shared surfaces must be thoroughly cleaned with the antibacterial cleaners provided - before and after use. 

 

Daily/Weekly Measures:
 

  • 24hours before coming to work or going onsite you are expected to take a rapid lateral flow at home covid-19 test. You should retest at least every 3rd Day, You will need to report this on our Covid Health Declaration page. You will also need to report your results regardless of a positive or negative result to the NHS using the instructions in the testing kit.

  • Each household is allowed to order one pack of tests (7 in a pack) per day and they are delivered in approximately 2 working days. They can also be collected from some test sites and some pharmacies. Visit the Government website for more information. 

  • Each time you take a test you must resubmit your Covid Health Declaration.

  • A Covid-19 station will be located at the rear roller door to the Warehouse on the Carpark side of the unit. This station will supply spare test kits for those who require them. You will also find PPE Supplies including hand sanitiser, gloves and spare masks at this station.

  • Our Mask policy is relatively location dependent, so for any specific queries please ask the project manager or senior staff member on site. In general our mask policy is as follows:

    • The Office - whilst seated as desks it is deemed that the office space is large enough and well ventilated enough that masks are not required. However, when moving around between areas and when not seated at a desk away from others we ask that you wear a mask.

    • Studios and Sets - Masks will not be required when only one person is using the space but due to more limited space and ventilation, when more than 3 persons are in attendance of any of the Clearsound Studios they must wear masks. Temporary sets will depend on the size location and amount of crew in the vicinity.

    • The Warehouse and Workshops - due to the size of these work spaces and the opportunity for ventilation we do not require staff to wear masks unless they are in close proximity to one another or there are more than 5 people working in the area at one time. 

    • On Location - We are unable to control the behaviours and actions of people attending events or work locations and so we advise that any Clearsound employee, freelancer, partner, client, crew member or otherwise adhere to a strict mask wearing policy when in attendance at any indoor location. Outdoor locations may require you to be within 2 meters of the general public so we would again suggest that masks are worn.

 

Reasonable Adjustments & Updates

Any person who is unable to wear a mask due to medical exemptions are welcome to make themselves known to the directors to ensure that any environment within which you are required to work is as safe as possible. Any person who chooses to wear a mask at times where they are not strictly mandated to be worn is very welcome to do so. Should anyone have concerns about the proximity of others, ventilation or general working environment they should contact the directors ASAP and this will be assessed.

If any member of staff has any concerns about the safety or Covid compliance of their working environment they should contact the directors immediately.

The Directors are responsible for remaining knowledgeable about any changes to Government Policy or NHS advice that may affect any person associated with Clearsound Productions. If any changes to this company policy are required they will be communicated via email in the immediate instance and updated formally once clarified. 

There may be unique and specific advice provided for certain events or locations due to their nature, these will be communicated to all those affected ahead of time.

All members of staff are invited to request additions to this policy should they believe this to be necessary. Requests will be assessed by the directors ahead of implication. 

If any clients or partners have any specific requirements or policies they would like clearsound to adhere to, please contact us to ensure these can be communicated to all staff and so that any additional requirements can be enacted within an appropriate timescale.
